AI Document Processing Pipeline
This proposed application uses BrainShift to turn incoming enterprise documents into structured, reviewable records for Operations teams. Designed as a medium-complexity Document AI workflow, it combines Arabic and English document understanding with configurable validation rules and human approval before consequential updates.
This page describes a proposed application of the BrainShift platform. It is not a description of a specific customer deployment.
Business challenge
Operations teams receive invoices, purchase orders, onboarding forms, and contract attachments through shared mailboxes, repositories, and uploads. Different layouts, scanned pages, bilingual content, and embedded tables make consistent classification and extraction difficult.
Rekeying information is only part of the workload. Staff must reconcile totals, locate missing attachments, identify duplicates, and check extracted values against reference records. When exceptions circulate through email, ownership and the evidence behind corrections become difficult to track.
How BrainShift solves it
Document Intelligence can interpret document text, tables, and visual content in Arabic and English. BrainShift Studio configures document-specific extraction schemas and reasoning logic, producing structured fields with source references so reviewers can inspect the supporting evidence.
Agentic Workflows coordinates intake, validation, exception handling, and approval. Required fields, matching rules, and review thresholds are configured for each document class. Approved records can be prepared for transfer through configured connectors, while ambiguous or conflicting information remains in a reviewer queue.
How it works
Step-by-step workflow
- 01
1. Register incoming documents
Receive files from approved channels, record source metadata, and assign a processing identifier for tracking.
- 02
2. Classify and separate
Identify document types and group related pages or attachments, flagging unclear classifications for review.
- 03
3. Extract structured content
Capture headers, line items, dates, identifiers, and totals against the configured schema, retaining source references.
- 04
4. Validate and reconcile
Check completeness, arithmetic, duplicate indicators, and reference-data matches; surface discrepancies rather than silently correcting them.
- 05
5. Route reviewer decisions
Assign exceptions to authorized staff with evidence and proposed corrections; require approval for consequential downstream actions.
- 06
6. Hand off and monitor
Prepare approved records for connected systems, capture transfer status, and route failed submissions for resolution.

Enterprise integrations
Systems it can connect to
Configurable integration options, confirmed during implementation.
- Microsoft 365: Configurable intake from designated operational mailboxes.
- SharePoint: Read approved libraries and store reviewed outputs.
- SAP: Check purchase-order references and prepare approved record transfers.
- SQL Server: Query governed reference tables for validation.
- REST APIs: Exchange approved payloads and processing status with operational applications.
Data sources
- Scanned invoices and purchase-order PDFs
- Arabic and English operational forms
- Contracts and supporting attachments
- Supplier and organizational reference records
- Document schemas, validation rules, and approval policies
Business outcomes
Potential benefits
Less repetitive entry
Extracted fields could reduce manual transcription into operational records.
Earlier discrepancy detection
Validation could surface missing fields and mismatched totals before submission.
Focused reviewer attention
Exception queues could help staff prioritize ambiguous or conflicting documents.
More traceable decisions
Source references could make extracted values and corrections easier to inspect.
Consistent handoffs
Standardized payloads could reduce variation between document intake and downstream processing.
Suggested KPIs
Security and deployment
The proposed pipeline can be designed for sovereign, on-premises, or private-cloud environments. SSO and role-based access should restrict document visibility and approval rights. Audit trails should capture intake, extraction, corrections, approvals, and transfers, with retention and processing boundaries aligned to enterprise policy.
Human oversight
Operations owners define validation rules, exception routing, and approval authority. Reviewers inspect uncertain fields and conflicting evidence; high-impact actions, including financial postings or changes to supplier records, always require human approval. Rule and schema changes should be tested before release.
FAQ
Frequently asked questions
“Extract the line items from these bilingual invoices.”
The pipeline identifies invoice tables, structures Arabic and English content, and flags uncertain values for reviewer inspection.
“Which submissions are missing required attachments?”
It checks document groups against configured requirements and lists incomplete submissions with the missing items.
“Send these reviewed invoices to our ERP.”
It checks approval status and prepares the configured handoff; consequential ERP actions require explicit human approval.
How should implementation begin?
Start with a bounded document class, representative samples, agreed extraction fields, validation rules, and a named reviewer group.
