Automated Meeting Intelligence

This proposed, low-complexity application serves all enterprise departments within HR and enterprise productivity. Using Speech AI configured through BrainShift Studio, teams could prepare meeting notes, decision records, and follow-up drafts inside BrainShift Workspace. The initial scope focuses on employee-reviewed outputs, not autonomous task execution.

Business challenge

Project managers, HR partners, and department coordinators often reconstruct meetings from recordings, chat messages, and personal notes. Important qualifications can disappear when a discussion is condensed, while tentative suggestions may be recorded as final decisions.

Follow-through becomes harder when owners or deadlines were never explicitly agreed. Sensitive employee discussions also require careful handling: permission to attend a meeting should not automatically authorize broad distribution of its transcript or summary.

How BrainShift solves it

BrainShift Studio would configure a meeting assistant that uses an approved speech transcription service or model to produce timestamped text, identify discussion topics, and draft structured notes. Summaries would distinguish confirmed decisions, proposals, unresolved questions, and potential action items, with references to the underlying transcript.

BrainShift Workspace would give authorized employees a secure place to review these outputs, correct names and terminology, and approve distribution. The assistant would flag unclear speech and ambiguous ownership rather than fill gaps with invented commitments. Calendar and document connections would be configured only where needed.

How it works

Step-by-step workflow

  1. 01

    1. Authorize capture

The organizer confirms recording permission, participant notice, and applicable policy before submitting a recording or authorized transcript.

  2. 02

    2. Prepare the transcript

A configured Speech AI service transcribes audio with timestamps; reviewers check unclear passages and speaker labels before relying on attribution.

  3. 03

    3. Structure the discussion

The assistant groups topics and separates agreed decisions from suggestions, objections, and unresolved questions.

  4. 04

    4. Propose follow-ups

Draft action items include owners and dates only when supported by the discussion; missing details are marked for confirmation.

  5. 05

    5. Review and approve

The organizer checks source references, corrects commitments, removes sensitive details, and approves the intended recipients.

  6. 06

    6. Publish reviewed notes

Authorized employees save or share the approved record through configured channels, keeping draft material separate from the final version.

Business outcomes

Potential benefits

Faster draft preparation

Could reduce manual reconstruction of discussions from recordings.

Clearer accountability

Could make unconfirmed owners and missing deadlines visible before publication.

More reliable decision records

Source references could help reviewers verify what was actually agreed.

Controlled distribution

Recipient review could reduce unnecessary sharing of sensitive discussions.

Consistent meeting notes

Department templates could standardize decisions, open questions, and follow-ups.

Security and deployment

Design for sovereign, on-premises, or private-cloud deployment, with approved speech processing kept within agreed boundaries. Configure SSO, role-based access, and audit trails for access, edits, and publication. Apply recording consent, retention, and deletion policies to recordings, transcripts, and derived notes.

Human oversight

The organizer remains accountable for the official record. High-impact actions, including personnel decisions, financial commitments, or external communications, require explicit human review and approval; a meeting summary is not authorization to execute them.

FAQ

Frequently asked questions

“Summarize yesterday’s project review.”

The assistant drafts topic-based notes from an authorized recording, linking decisions and uncertainties to transcript passages.

“What did I commit to deliver?”

It identifies attributed commitments and flags uncertain speaker identity, ownership, or deadlines for your confirmation.

“Prepare a follow-up email for attendees.”

It drafts decisions and proposed actions for organizer review, without sending automatically.

What keeps the initial implementation low complexity?

Start with uploaded recordings, one approved transcription connection, and a standard notes template; defer live capture and task-system updates.
