Policy Compliance Verification
This proposed BrainShift application helps Compliance departments assess internal policies against selected legal and regulatory requirements using retrieval-augmented generation (RAG). It supports a medium-complexity review workflow that produces traceable findings for compliance officers and legal counsel, rather than automated legal determinations.
This page describes a proposed application of the BrainShift platform. It is not a description of a specific customer deployment.
Business challenge
Policy verification often requires reviewers to move between regulatory publications, internal policy libraries, control registers, and prior legal interpretations. Different versions, effective dates, and jurisdictional scopes make it difficult to establish which obligations apply to a particular business unit.
Keyword searches do not establish whether a policy addresses an obligation substantively. Reviewers need clause-level evidence, visibility into exceptions, and a record of their reasoning before proposing revisions or reporting a compliance gap.
How BrainShift solves it
BrainShift Studio can configure a RAG-based assistant that compares selected policy clauses with a curated set of applicable requirements. Enterprise Knowledge retrieves permission-aware evidence, allowing each proposed finding to reference the relevant policy passage and regulatory source.
Agentic Workflows can coordinate comparison, evidence checks, specialist review, and approval. Findings distinguish apparent coverage, potential gaps, ambiguity, and insufficient evidence; missing retrieval results are not treated as proof of noncompliance. Approved findings can inform policy revisions and remediation planning.
How it works
Step-by-step workflow
- 01
1. Define review scope
A compliance officer selects policies, jurisdiction, business unit, assessment date, and the authoritative requirement set.
- 02
2. Establish source versions
Retrieve accessible documents and confirm available version metadata, effective dates, and superseded material before comparison.
- 03
3. Map obligations
Identify relevant requirements and connect them to policy clauses, flagging obligations with no clear policy counterpart.
- 04
4. Draft evidence-backed findings
Explain apparent alignment or potential gaps with citations, including limitations where sources are incomplete or conflicting.
- 05
5. Route for specialist review
Send ambiguous interpretations to legal counsel and operational questions to control owners for documented decisions.
- 06
6. Approve and retain
An authorized reviewer approves the assessment and proposed follow-up, preserving findings, source references, and review history.
In practice
Example requests
"Does our retention policy address these selected obligations?"
The assistant maps obligations to policy clauses and drafts cited findings for review.
"Which clauses need review after this regulatory update?"
It retrieves affected passages and flags potential changes without editing approved policy.
"Prepare the evidence for this disputed finding."
It assembles accessible source passages, version details, and unresolved interpretation questions.

Business outcomes
Potential benefits
Traceable assessments
Could make findings easier to validate through clause-level source references.
Earlier gap visibility
Could surface missing or ambiguous policy coverage before formal review.
Consistent review structure
Could standardize finding categories and required evidence across reviewers.
Focused legal escalation
Could direct counsel toward disputed interpretations rather than routine document searches.
Clearer follow-up
Could help policy owners understand the obligation behind each proposed revision.
Suggested KPIs
Security and deployment
The proposed configuration supports sovereign, on-premises, or private cloud deployment according to organizational requirements. SSO, role-based access, permission-aware retrieval, and audit trails should govern document access and assessment activity, with retention and source availability defined during implementation.
Human oversight
Compliance officers validate applicability, evidence, and conclusions. Legal counsel resolves interpretive questions. High-impact actions, including policy changes, compliance attestations, and regulatory submissions, require explicit human approval; the assistant does not certify legal compliance.
FAQ
Frequently asked questions
Does this replace legal advice?
No. It supports evidence gathering and comparison; qualified reviewers retain responsibility for legal interpretation.
How are conflicting sources handled?
Conflicts are flagged for review rather than silently resolved.
Can the review scope vary by jurisdiction?
Yes. Reviewers select applicable jurisdictions and authoritative sources.
What if evidence is missing?
The finding records insufficient evidence and requests reviewer follow-up.
