Enterprise HR Policy Assistant
This proposed BrainShift application gives employees and HR teams a secure place to ask questions about approved workplace policies. Using retrieval-augmented generation (RAG), it grounds responses in authorized documents rather than general model knowledge. The low-complexity starting scope is policy guidance, not employee assessment or automated HR decisions.
This page describes a proposed application of the BrainShift platform. It is not a description of a specific customer deployment.
Business challenge
Leave rules, benefits guidance, expense policies, and onboarding instructions often sit across intranet pages, handbooks, and shared folders. Employees may find outdated copies or struggle to determine which policy applies to their location, contract, or employee group.
HR service teams repeatedly interpret the same documents, while managers need reliable references before advising staff. A plausible but unsupported answer can create inconsistent treatment, particularly when eligibility conditions, effective dates, or local policy exceptions are overlooked.
How BrainShift solves it
BrainShift Workspace provides the employee-facing assistant, while Enterprise Knowledge retrieves relevant passages within the user's permissions. BrainShift Studio defines the RAG experience, including source citations, clarification questions, and fallback behavior when approved material does not support an answer.
BrainShift Gateway governs model access and routing within the organization's configured environment. Answers distinguish documented rules from unresolved questions, show available effective dates, and point users toward HR review when sources conflict. The assistant does not approve leave, determine benefits eligibility, or change employee records.
How it works
Step-by-step workflow
- 01
Select approved sources
HR identifies authoritative handbooks, policy pages, FAQs, and local addenda, with document owners and review responsibilities.
- 02
Configure access boundaries
Connect selected repositories and map identity groups to source permissions, keeping restricted HR material outside general employee retrieval.
- 03
Prepare retrieval
Index approved content with available metadata such as location, policy category, version, and effective date.
- 04
Clarify the question
The assistant asks for relevant context, such as work location, without requesting unnecessary personal or sensitive information.
- 05
Answer with evidence
Retrieve authorized passages and draft a plain-language answer with citations, conditions, and any unresolved ambiguity.
- 06
Review and maintain
HR reviews flagged gaps and sample responses, updates source documents, and validates retrieval after policy changes.

Business outcomes
Potential benefits
Clearer self-service
Employees could locate applicable guidance without searching multiple repositories.
Fewer repetitive enquiries
Routine policy questions could require less manual HR response time.
More consistent guidance
Shared approved sources could reduce conflicting interpretations across teams.
Traceable answers
Citations could help employees and HR verify the basis of guidance.
Visible documentation gaps
Unanswered questions could reveal missing, ambiguous, or conflicting policy content.
Suggested KPIs
Security and deployment
Deployment can be designed for sovereign, on-premises, or private-cloud requirements. Configure SSO, role-based access, permission-aware retrieval, and audit trails for relevant access and activity. Apply organizational retention rules and avoid indexing unnecessary employee records or confidential case files.
Human oversight
HR owns policy interpretation and publication. Sensitive cases, exceptions, employment decisions, and other high-impact actions require authorized human review and approval outside this guidance-only assistant. Unsupported answers should clearly state the limitation and direct users to HR.
FAQ
Frequently asked questions
“How do I request annual leave?”
The assistant retrieves the applicable policy, summarizes the documented process, and cites the source; it does not approve the request.
“Which travel expenses can I claim?”
It asks for relevant location or travel context, then presents documented categories, conditions, and references.
“My manager says a different rule applies. Which is correct?”
It compares available authorized guidance, identifies conflicts, and directs the interpretation to HR rather than deciding an exception.
Does this require access to employee records?
No. An initial implementation can use approved policy documents and identity-based permissions without retrieving individual employee records.
